Job Opening – Commercial Project Manager
The Commercial Project Manager upholds the Allenfarm Vision and Mission as a key member of the Outside Sales team. The primary purpose of this team is to provide on-site fencing consultations and solutions to residential and commercial customers.
Essential Duties and Responsibilities
- Communicates directly with General Contractors throughout all phases of the bidding, contract negotiation, project scheduling, and completion processes.
- Reads and understands project specifications, plans, and contractual documents to identify specific requirements and generate thorough and accurate take-offs and estimates with impeccable attention to detail.
- Reviews contract documents to identify and communicate “exclusions” that will not be acceptable to Allenfarm.
- Works with vendors to source unique products that meet project-specific requirements and lead times.
- Assembles thorough, accurate, and properly vetted review packages following Allenfarm’s contract review process to facilitate efficient review and signature by management.
- Proactively plans and manages commercial projects to ensure Allenfarm’s success in safely and profitably meeting contractual requirements and outcomes.
- Maintains a realistic Project Completion Status report, transparently communicating project status to Allenfarm Management for projects expected to run 10 days or more.
- Identifies, accurately prices, and follows through on change orders that create additional requirements and billings for Allenfarm.
- Effectively communicates with sometimes pushy or overly aggressive General Contractors in an assertive yet respectful manner.
- Handles residential sales calls and manages residential projects as assigned by the Outside Sales Manager.
- Provides outstanding customer service to all external and internal customers.
- Works with the Customer Service Manager to ensure proper scheduling per contractual requirements.
- Proactively manages projects with strong attention to detail to ensure thorough and efficient completion that meets Allenfarm and customer expectations.
- Visits job sites to ensure installation crews start projects smoothly on Day 1; for multi-day jobs, checks in prior to completion to assess progress.
- Reviews completed projects to ensure Allenfarm standards and customer expectations have been met, proactively addressing punch-list items before the General Contractor requests them.
- Informs the Installation Manager of quality or crew performance concerns.
- Notifies the Production and Warehouse Manager of production-related quality issues.
- Meets team and individual sales goals.
- Attends meetings, sales events, trade shows, safety training, and other educational events to further fencing knowledge.
- Provides accurate job descriptions of all installations, including layout drawings, before pictures, parts lists, job hazard forms, job preparation, Active Dig Safe, and other required documentation.
- Acts as a Brand Ambassador by supporting company values at all times.
- Works with the shop, install team, and customers to ensure proper communication throughout the production and installation processes.
- Sets a positive example by following and enforcing company policies and procedures.
- Prepares written proposals, price quotes, and bids in a timely manner.
- Maintains at least weekly communication with the Outside Sales Manager to discuss estimates and projects in progress.
- Assists the Inside Sales team as needed with wholesale and retail customers.
- Handles all emails and phone calls promptly per Allenfarm expectations.
- Consistently fosters teamwork with the President, CEO, Inside Sales, Production, Install, and Office teams.
- Proactively works to prevent and resolve customer service issues, keeping the Outside Sales Manager and Customer Service Manager informed.
- Handles accounting-related functions as required by company procedures.
- Actively implements and sustains LEAN practices and process improvements.
- Promotes and exemplifies a culture of workplace safety.
- As a member of a small company, is willing to step in and help wherever needed.
Required Knowledge, Skills, and Abilities
- Proficient with computer systems and office equipment necessary for the role, including Microsoft Outlook, Excel, Word, QuickBooks, and commercial estimating software such as Procore.
- Strong ability to read and understand contractual documents, including project plans, specifications, and contracts.
- Consistently generates detailed, thorough, and accurate take-offs from project blueprints, engineering specifications, and contractual requirements.
- Well-versed in Allenfarm’s product and service offerings and able to communicate them competently to customers.
- Demonstrates impeccable attention to detail.
- Exhibits strong passion and drive.
- Communicates effectively, both verbally and in writing.
